Call for Nominations for SJSU ASIS&T Student Chapter 2012-2013 Executive Committee

The Nominating & Elections Committee invites nominations from SJSU ASIS&T Student Chapter members for eight remaining Executive Committee positions for the 2012-2013 administrative year, which runs from June 1, 2012 to May 31, 2013.

Chair

Duties/Responsibilities:

  • Preside over all meetings of the Executive Committee.
  • Appoint the Chairs of all committees, subject to the provisions of these Bylaws and the consent of the Executive Committee.
  • Submit a request for the annual Student Chapter fund appropriation to ASIS&T Headquarters by the date specified.
  • Submit an Annual Report of the Student Chapter to ASIS&T Headquarters by the date specified for self-nomination of the annual Student Chapter of the Year Award or by the close of the ASIS&T fiscal year.
  • Act and function as the official representative to other student organizations, faculty, campus administration, and the media, unless the Chair otherwise designates these responsibilities to another officer.
  • Run day-to-day affairs of the Student Chapter.
  • Implement a plan of action to achieve Student Chapter goals.
  • Make necessary online preparations for organizational meetings.
  • Submit all Executive Committee meetings and programs for posting to the SLIS Master Events Calendar.
  • Post agendas at least 24 hours in advance of Executive Committee meetings.

Secretary

Duties/Responsibilities:

  • Record and distribute to the Executive Committee the minutes of each Executive Committee meeting prior to the next meeting of the Executive Committee.
  • Record and distribute to the Executive Committee the minutes of each Standing or Ad Hoc Committee meeting prior to the next meeting of said Standing or Ad Hoc Committee.
  • Perform such duties as the Executive Committee or the Chair may assign as expected of a Secretary.

Treasurer

Duties/Responsibilities:

  • Maintain a complete and accurate financial statement.
  • Maintain complete and accurate records of all receipts, expenditures, donations, and raised funds.
  • Be accountable to the Executive Committee regarding the authorization of all expenditures.
  • Provide a current financial statement to the Executive Committee upon request.
  • Provide the Chair with an Annual Financial Statement to be submitted to ASIS&T Headquarters.
  • Direct Student Chapter expenditures of funds.
  • Direct Student Chapter fundraising activities.
  • Formulate the content on the Student Chapter’s website regarding donation procedures.
  • Communicate regularly with the ASIS&T Director of Finance &Administration regarding the status of the Student Chapter’s financial account.
  • Perform such duties as the Executive Committee or the Chair may assign as expected of a Treasurer.

Webmaster

Duties/Responsibilities:

  • Carry out the functions of designing, creating, maintaining, updating, and enhancing the Student Chapter website.
  • Post announcements regarding meetings, programs, activities, news, publications, resources, and features on the Student Chapter website.
  • Maintain the Student Chapter website’s graphics, images, and artistic appeal.
  • Maintain a Web page containing a current directory of members, including links to members’ LinkedIn profiles.
  • Incorporate the Student Chapter’s social media accounts in the website.
  • Convert Student Chapter program recordings into recorded webcasts and upload the recorded webcasts to the Student Chapter website’s recordings archive for viewing.
  • Upload all Student Chapter documents and files to the website and/or server for access, storage, and preservation purposes.
  • Perform such duties as the Executive Committee or the Chair may assign as expected of a Webmaster.

Communications Officer

Duties/Responsibilities:

  • Notify the student body, faculty, and Student Chapter Members via e-mail of all meetings, programs, activities, news, publications, resources, and features.
  • Submit announcements to the Webmaster and Social Media Administrator for posting online.
  • Manage all e-mails received via the Student Chapter e-mail account.
  • Manage and moderate the Student Chapter listserv.
  • Subscribe to national ASIS&T listservs and forward items of interest to the Student Chapter listserv as well as the Webmaster and Social Media Administrator for posting online.
  • Perform such duties as the Executive Committee or the Chair may assign as expected of a Communications Officer.

Newsletter Editor

Duties/Responsibilities:

  • Carry out the functions of designing, creating, assembling, editing, and producing a Student Chapter newsletter twice per semester.
  • Solicit newsletter submissions from the Executive Committee and Student Chapter membership relating to Student Chapter news as well as general topical pieces about information science and technology.
  • Perform such duties as the Executive Committee or the Chair may assign as expected of a Newsletter Editor.

Assembly Representative

Duties/Responsibilities:

  • Attend the ASIS&T Annual Meeting.
  • Represent the interests of the Student Chapter at the Chapter Assembly Meeting at the ASIS&T Annual Meeting.
  • Perform such duties as the Executive Committee or the Chair may assign as expected of an Assembly Representative.

Alternate Assembly Representative

Duties/Responsibilities:

  • Attend the ASIS&T Annual Meeting.
  • Represent the interests of the Student Chapter at the Chapter Assembly Meeting at the ASIS&T Annual Meeting in the absence of the Assembly Representative.
  • Perform such duties as the Executive Committee or the Chair may assign as expected of an Alternate Assembly Representative.

Nomination requirements: Candidates for office must be SJSU ASIS&T Student Chapter members and must be clear of intent of enrollment through May 2013.  Nothing prevents any Student Chapter Member from being elected to more than one office of the Executive Committee, except that the Assembly Representative and the Alternate Assembly Representative must be different individuals.

Nomination process: Candidates may nominate themselves for election. Please send your nomination, including a short bio, statement of purpose, and portrait photograph, to Sarah Emmerson, Nominating & Elections Committee Chair, at sjsuasist@gmail.com by April 27, 2012 at 11:59pm PT.

Voting process: Elections will be held April 29 – May 3, 2012. Officers shall be elected by a majority of the SJSU ASIS&T Student Chapter members voting online via D2L. SJSU ASIS&T Student Chapter members must be enrolled in the SJSU ASIS&T Student Chapter’s members-only D2L site in order to vote.
