SJSU ASIS&T Executive Committee Mid-Year Elections

Call for Nominations

The Nominating & Elections Committee invites nominations from SJSU ASIS&T Student Chapter members for Executive Committee positions for the remainder of the 2013-2014 administrative year, which runs from June 1, 2013 to May 31,

Nomination Requirements

Candidates for office must be SJSU ASIS&T Student Chapter members and must be clear of intent of enrollment through May 2014. Nothing prevents any member from being elected to more than one office of the Executive Committee.

Nomination Process

Candidates may nominate themselves for election. To run for one of the open positions listed below, please send a short bio, statement of purpose, and a portrait photograph to Suzanne Rogers Gruber at srgruber@gmail.com by January 23, 2014.

Voting Process

Elections will be held January 25-30, 2014.

Officers will be elected by a majority of the SJSU ASIS&T Student Chapter members, who will vote online via our D2L page. SJSU ASIS&T Student Chapter members must be enrolled in the SJSU ASIS&T Student Chapter’s members- only D2L site in order to vote.

Open Positions

Blog Editor

Duties/Responsibilities:

  • Carry out the functions of designing, creating, assembling, editing, and producing the SJSU ASIS&T blog
  • Solicit submissions from the Executive Committee and Student Chapter membership relating to Student Chapter news, alumni and faculty spotlights, ASIS&T news and events, as well as general topical pieces about information science and technology
  • Maintain regular posting schedule for event reminders and important chapter dates
  • Monitor and respond to blog comments as necessary
  • Perform such duties as the Executive Committee or Chair may assign as expected of a Blog Editor

Membership Director

Duties/Responsibilities:

  • Recruit new students into ASIS&T at the beginning of each semester
  • Conduct membership outreach efforts to encourage students to join the Student Chapter
  • Recommend policies and programs to the Executive Committee that seek to increase the membership of the Student Chapter
  • Formulate the content on the Student Chapter’s website regarding membership benefits as well as the process by which students may join the Student Chapter
  • Respond to students’ e-mails concerning membership issues via the Student Chapter e-mail account
  • Ensure prospective and current members are in compliance with ASIS&T’s requirement that all Student Chapter Members be members of ASIS&T
  • Send an official welcome message via e-mail to new Student Chapter Members
  • Maintain a directory of Student Chapter Members and make it accessible to the Executive Committee
  • Add all Student Chapter Members to the Student Chapter’s site on the current learning management system utilized by San Jose State University’s School of Library and Information Science
  • Record the attendance of members and non-members at Student Chapter Executive Committee meetings and programs
  • Send a message via e-mail to Student Chapter Members prior to their membership renewal deadlines reminding Student Chapter Members to renew their ASIS&T memberships
  • Send a message via e-mail to former Student Chapter Members whose memberships recently expired urging former Student Chapter Members to renew their ASIS&T memberships
  • Alert the Webmaster, Communications Officer, and SJSU SLIS Blackboard IM administrator of any changes in students’ membership status
  • Perform such duties as the Executive Committee or the Chair may assign as expected of a Membership Director

Program Director

Duties/Responsibilities:

  • Organize, facilitate, and moderate academic, professional, and social programs for the Student Chapter
  • Attempt to coordinate cooperative programs with other San Jose State University student organizations, ASIS&T Student Chapters, and/or ASIS&T Regional Chapters
  • Perform such duties as the Executive Committee or the Chair may assign as expected of a Program Director

Treasurer

Duties/Responsibilities:

  • Maintain a complete and accurate financial statement
  • Maintain complete and accurate records of all receipts, expenditures, donations, and raised funds
  • Be accountable to the Executive Committee regarding the authorization of all expenditures
  • Provide a current financial statement to the Executive Committee upon request
  • Provide the Chair with an Annual Financial Statement to be submitted to ASIS&T Headquarters
  • Direct Student Chapter expenditures of funds
  • Direct Student Chapter fundraising activities
  • Formulate the content on the Student Chapter’s website regarding donation procedures
  • Communicate regularly with the ASIS&T Director of Finance & Administration regarding the status of the Student Chapter’s financial account
  • Perform such duties as the Executive Committee or the Chair may assign as expected of a Treasurer

Chair

Duties/Responsibilities:

  • Preside over all meetings of the Executive Committee
  • Appoint the Chairs of all committees, subject to the provisions of these Bylaws and the consent of the Executive Committee
  • Submit a request for the annual Student Chapter fund appropriation to ASIS&T Headquarters by the date specified
  • Submit an Annual Report of the Student Chapter to ASIS&T Headquarters by the date specified for self-nomination of the annual Student Chapter of the Year Award or by the close of the ASIS&T fiscal year
  • Act and function as the official representative to other student organizations, faculty, campus administration, and the media, unless the Chair otherwise designates these responsibilities to another officer
  • Run day-to-day affairs of the Student Chapter
  • Implement a plan of action to achieve Student Chapter goals
  • Make necessary online preparations for organizational meetings
  • Submit all Executive Committee meetings and programs for posting to the SLIS Master Events Calendar
  • Post agendas at least 24 hours in advance of Executive Committee meetings
