Time to run for ALASC office!

Are you interested in increasing your leadership skills, gaining experience, creating programs for fellow students, and developing professional contacts? If so, consider running for an officer position in your American Library Association Student Chapter (ALASC)!

This a GREAT opportunity to get involved with the SLIS community, build programming, meet fellow students and connect with the ALA office, and attain valuable leaderships skills. This year’s board has done many exciting things to set a great future for ALASC and its service to SLIS students worldwide and offers a dynamic opportunity to expand your SLIS experience.

Positions Available:

Chair, Co-Chair/Web Coordinator, Newsletter Editor, Social Media Manager, Regional Event Coordinator, Virtual Event Coordinator, Secretary/Archivist, and Treasurer.

Nominations:

ALASC is accepting self-nominations for the 2014-2015 officers from now until Wednesday, April 9th at 11:59 pm PT. Please submit your letter of intent and a headshot photograph to sjsualasc@gmail.com. Tell us why you are interested in the position, what you hope to accomplish, and your qualifications. Please keep it short and sweet (approximately 100-500 words); your letters will accompany the online ballots to assist voters with their decisions.

Voting:

Elections will be held on D2L from April 10 – April 15, 2014. You must be enrolled in the ALASC site on D2L to vote and we will provide details instruction on how to participate.

Board Terms run from May 2014-May 2015. We hope you’ll consider getting involved! All SLIS students are automatically ALASC members and are eligible to be nominated and vote. You do not need to be an ALA National member at the time of your nomination but if elected, you will be required to join ALA if you are not already a member (joint ALA-State Chapter memberships are available in most states for just $35). Nomination requirements: Officers can reside anywhere with the exception of the Treasurer, who must be able to visit San Jose State University to handle funding business with SJSU’s Associated Students.

 

Board Position Descriptions:

A. Chair

1. Direct and have the ultimate responsibility for the functioning of the organization and its relationship with ALA Headquarters;

2. Act as the executive authority on all matters concerning membership, publications, and ALASC sponsored projects and activities;

3. Responsible for reporting all official correspondence received and sent by ALASC to the members;

4. Call meetings when necessary;

5. Preside at all meetings;

6. Communicate the activities, needs and suggestions of the members of the ALA to the faculty sponsor, and any other body that is concerned;

7. Announce nominations for the next elections and designate a polling place;

8. Update and renew ALASC’s recognition status with San Jose State University;

9. Communicate directly with the Chair of other organizations.

 

B. Co-chair/Web Coordinator

1. Assume the duties of the Chair in the latter’s absence and shall assume the office of the Chair should it become vacated during the stated term of office;

2. Assist the Chair with the duties of the Executive Committee;

3. Perform any function designated by the Chair;

4. Shall assume the duties of the Chair when s/he is absent;

5. Communicate directly with the Co-chair of other organizations;

6. Maintain ALASC’s Web site;

7. Identifies technology needs of chapter;

8. Works closely with Social Media Manager;

9. Communicate directly with the Web Coordinators of other organizations;

10. Assist and advise the Chair on all executive decisions.

C. Newsletter Editor

1. Solicit and organize student work for ALASC publications;

2. Be responsible for editing student work and other material germane to the field of library science for ALASC publications;

3. Supervise the production and distribution of any ALASC publications;

4. Communicate directly with the Newsletter Editor of other organizations;

5. Assist and advise the Chair on all executive decisions.

D. Regional Event Coordinator

1. Be responsible for the planning and coordination of organization activities in cooperation with the Executive Committee and the general membership;

2. Be responsible for working with Social Media Manager to announce current events determined to be related and important to ALASC;

3. Be able to form ad hoc Program Committees as needed and establish the responsibilities of those committees;

4. Supervise the planning of all in-person activities conducted as a function of ALASC and coordinate the efforts of two or more committees responsible for any one function;

5. Monitor attendance at events;

6. Work to recruit student hosts and attendees to events;

7. Communicate directly with the Program Coordinator of other organizations;

8. Work with Virtual Event Coordinator as needed;

9. Assist and advise the Chair on all executive decisions.

E. Virtual Event Coordinator

1. Be responsible for the planning and coordination of organization activities in cooperation with the Executive Committee and the general membership;

2. Be responsible for working with Social Media Manager to announce current events determined to be related and important to ALASC;

3. Be able to form ad hoc Program Committees as needed and establish the responsibilities of those committees;

4. Supervise the planning of all online activities, webinars, presentations, etc. Coordinate the efforts of two or more committees responsible for any one function;

5. Monitor attendance at events;

6. Work to recruit student hosts and attendees to events;

7. Communicate directly with the Program Coordinator of other organizations;

8. Work with Regional Event Coordinator as needed;

9. Assist and advise the Chair on all executive decisions.

F. Secretary/Archivist

1. Record minutes of all ALASC meetings;

2. Provide access to all meeting minutes to the Executive Committee no later than one week after the meetings;

3. Responsible for collecting and archiving all documents relevant to ALASC (these documents may include but are not limited to: minutes, applications submitted for awards, official correspondence, photographs, newsletters, video recordings, computer files, and any other items deemed to be of enduring value);

4. Communicate directly with the Secretary and/or Archivist of other organizations;

5. Assist and advise the Chair on all executive decisions.

G. Treasurer

1. Establish and maintain banking arrangements for the organization;

2. Collect and disburse funds as directed;

3. Report monthly on the financial condition of the organization;

4. Responsible for exhausting all possible sources of funding;

5. Collect nominal donations at each meeting if so desired and maintain accurate records of all financial matters transacted by ALASC;

6. Communicate directly with the Treasurer of other organizations;

7. Assist and advise the Chair on all executive decisions.

H. Social Media Manager

1. Maintain content on blog;

2. Oversee member communications and outreach;

3. Maintain ALASC social media platforms;

4. Reply to SLIS community questions and comments in a timely manner, both via email and on social media platforms;

5. Work closely with Event Coordinators in coordinating event promotion;

6. Communicate directly with the Social Media Manager of other organizations;

7. Assist and advise the Chair on all executive decisions.
